Follow-up emails with AI: get back to proposals nobody answered

Quick answer: Ask the assistant to look for proposals sent more than a few days ago (search the subject for "proposal" or "quote"), read each conversation and keep the ones that end with a message from your company. For those, it saves a short follow-up in Drafts that mentions what was proposed. You review and send it, or ask it to schedule.

Who it is for

For anyone who sells by email and loses deals by forgetting to follow up: the agency that sent three proposals this week, the service provider who quotes by email, the small software shop.

A follow-up that works is short and specific: it recalls what was proposed, answers a likely question and suggests a next step. The assistant has the whole conversation history to write that; you decide whether and when it goes out.

What it looks like

Request: Look in sales@example.com for proposals we sent more than 5 days ago with no reply from the customer. For each one, draft a short follow-up that mentions what was proposed.

Three proposals have had no reply for more than 5 days. I left a follow-up in Drafts for each one; nothing was sent:

  • Estúdio Lumebrand identity, $4,800 · sent 8 days ago
  • Oficina Rota 9website maintenance, $600/month · 6 days ago
  • Clínica Vidanew website, $7,500 · 12 days ago

Step by step

  1. Connect Domailo with "Read and write" access.
  2. Say where to look (the mailbox and the subject words, like "proposal" or "quote") and how long without a reply counts. Search looks at the subject and the contact.
  3. The assistant reads each conversation and keeps only the ones that end with a message sent by your company. If the proposal is in an attached PDF, it can open it with ler_anexo.
  4. Review the drafts in the webmail or ask for changes in the chat. Send from the webmail, or ask it to send or schedule with enviar_rascunho.

Ready-to-copy prompts

Swap the addresses and names for yours. The more specific the request (mailbox, time period, what the reply must say), the better the result.

  • List the proposals sent from sales@example.com in the last two weeks that have not had a reply yet, with amount and send date.
  • For the Estúdio Lume proposal, draft a three-line follow-up offering a 15-minute call this week.
  • Open the proposal PDF sent to Clínica Vida and summarize timelines and payment terms before writing the follow-up.
  • Send the three follow-up drafts on Monday at 9 am Eastern Time.
  • Which customers have already received two follow-ups without replying? Don't write anything else to them; just show me the list.

How it changes by type of business

Agency
Campaign or website proposals often stall in the client's internal approval. The follow-up can offer a smaller version or a phased timeline.
B2B software
After a demo, the follow-up mentions the question that came up in the call and sends the next step (trial, contract, a call with an engineer).
Renovations and services
Quotes expire: the follow-up recalls the date and asks whether to hold the crew's schedule.

Permissions needed

  • "Read and write" access. Tools used: listar_emails, ler_email, ler_anexo, salvar_rascunho, enviar_rascunho.
  • Admins, and people an admin allowed to use AI assistants. Each person sees only the mailboxes they already open in the webmail.
  • Included in the Startup, Essential and Team plans and during the trial.

Caveats and limits

  • Domailo is not a CRM: the assistant knows only what is in the emails. For each deal's stage, also connect your CRM's MCP server, if it has one.
  • Search looks at the subject and the contact, not the body. If your proposals do not share a word in the subject, ask it to list the mailbox's conversations and filter by reading them.
  • "No reply" is the assistant's inference: the last message in the conversation is from your company.
  • Drafts are personal and go to one recipient, with no CC/BCC.
  • Pushing too hard drives people away. One or two spaced-out follow-ups are usually enough; ask the assistant to count how many were already sent before writing another.

Frequently asked questions

Does the assistant know which proposals got no reply?

It infers it from the conversation: it reads the history with ler_email and treats as unanswered the ones that end with a message sent by your company. Domailo does not flag this on its own.

Does the follow-up go out in the same conversation as the proposal?

Yes. The draft is saved inside the conversation, so the customer gets it as a reply to the proposal email, with the history.

Can I schedule the follow-up?

Yes. enviar_rascunho accepts agendar_para with date, time and time zone. The message waits in Scheduled and can be canceled until send time.

Does the assistant read the proposal PDF?

Yes, if the PDF is attached to an email in the conversation and is up to 5 MB. Word and Excel files are not opened by the assistant; they can only be downloaded in the webmail.
